Job Posting: Events Producer

Job Description

STATUS: Part-time and project driven (contractor)                         

COMPENSATION: $25K-$35K

LOCATION: New York City & event locations          

REPORTS TO: Managing Director 

Arbutus (Reasons to be Cheerful’s parent organization) seeks an Events Producer to manage and execute the organization’s varied events. The Events Producer will be responsible for the oversight and execution of Reasons to be Cheerful (RTBC) panel talks, RTBC virtual membership events, RTBC 5 Year Anniversary variety show + fundraising event and cultivation events for supporters. 

General Responsibilities

  • Identify potential venues for events (when necessary);
  • Create and manage event budgets; 
  • Make event timelines and ensure they are adhered to; 
  • With advisement from Will Doig/Emily Simoness make offers to guests and artists;
  • Liaise with the talent throughout the process, making sure that they have info they need (venue, specifics on the talk, payment);
  • Run rehearsals for events;
  • Line produce events;
    • Liaise with venue staff/unions on all aspects of event protocol, logistics and production;
    • Produce, format and implement tech and multimedia elements;
    • Act as quality control monitor to ensure a flawless audience experience;
    • Troubleshoot problems throughout production process, including during the event;
  • Manage event to-do lists; 

RTBC Panel Talks 

  • Field speaking requests from representation and vet with Arbutus leadership to make sure offers are appropriate;
  • Work with Arbutus Business Managers to fulfill contract obligations;
  • Schedule and run rehearsals via Zoom;
  • Work with event organizers to ensure participants’ needs are fulfilled;
  • Coordinate on-stage Q+As if necessary; 

5 Year Anniversary Event

  • Create sponsor list and solicit sponsorships;
  • Architect a ticketing selling strategy including timeline, online platform, etc.
  • Oversee ticket tracking; 
  • Coordinate gift bags;
  • Work with appropriate team member to send follow up/thank you/gift acknowledgement emails

RTBC Virtual Events

  • Set up and run webinars on Zoom, ensuring that the technology works for participants and audience;
  • Produce recordings of the events that can be distributed

Requirements

  • Prior event experience
  • Strong written and verbal communication skills;
  • Strong organizational, multitasking and time management skills; 
  • Acute attention to detail;
  • Ability to respect and protect confidential materials or conversations; 
  • Proficiency with Google Suite, specifically gmail, google calendar, excel and google sheets
